Position Title: HR Admin

 

Shift: 8:00am - 4:30pm, Monday - Friday

 

Field Roast is seeking an HR Admin to join it's growing company in South Seattle. The HR Admin is responsible for providing front desk and office management, as well as contributing key administrative support to the Human Resources department. This is a front-facing role where you will be greeting and checking in visitors, answering phones, assisting employees with benefits and general questions. You will lead the Employee Engagement Committee and plan and execute employee events and incentive programs. 

 

Successful candidates must be highly flexible and be able to prioritize tasks even with a lot of distractions. You thrive on taking on new challenges with little direction and aren't afraid of figuring things out on your own. You will need to have exceptional communication skills (verbal and written) and demonstrate proficiency in Microsoft Suite and database management. You must be tech savvy and comfortable with data entry and learning new systems. You love helping people and have a friendly demeanor even in challenging interactions. 

 

Key Responsibilities:

 

Front Desk

 

• Manage the front entrance and help visitors to connect with our employees, ensuring all visitors sign in and out and have escorts

 

• Answer the phone and providing a positive customer experience and forward calls to the appropriate employees

 

• Understand our company structure to help visitors and callers connect with staff 

 

• Manage phone system and troubleshoot any phone issues

 

• Maintain the front office, lobby area, and the alter in the foyer

 

• Water all plants in the common areas

 

Office Logistics

 

• Manage the ordering and storage of all office supplies for both locations

 

• Coordinate the ordering and assembly of office furniture when needed

 

• Main vendor contact for phone system, copier, and vending machines, and be able to troubleshoot issues as they arise

 

• Sort, receive and distribute mail and electronic faxes

 

• Other tasks as developed or assigned to cover office needs 

 

HR Support

 

• Provide administrative support to HR including database administration, benefits enrollment, and filing

 

• Manage the benefits enrollment including communicating benefit information and support

 

• Assist HR Coordinator with new employee onboarding and data-entry

 

• Foster positive relationships with Field Roast’s diverse workforce at all levels 

 

• Assist and prescreen all walk-in applicants and work with HR Coordinator to find the best candidates 

 

• Manage ORCA card orders and help employees with their ORCA Vouchers

 

• Plan and coordinate employee events and incentive programs throughout the year including leading the event committee

 

• Post monthly employee birthdays and anniversaries

 

• Support access control badge assignments 

 

• Other duties to be assigned

 

Operations Support

 

• Provide administrative support to the Operations team as requested

 

• Support the monthly Community Meetings by updating the power point presentation and agenda, posting signs, and ordering cupcakes

 

• Manage the Outlook calendars for the conference rooms and other meeting requests

 

• Assist with VIP visitor’s ensuring they are taken care of while at our plant

 

• Create Cross-departmental communications for events and important updates 

 

Qualifications:

 

• Proven experience in business administration

 

• Excellent professional communication skills both verbal and written

 

• Experience handling sensitive information responsibly and with discretion

 

• Be able to prioritize multiple requests and use good judgement in meeting those requests

 

• Experience in building and improving systems to create efficiencies to support company growth

 

• Tech-savvy, proven ability to problem solve and a high-level of comfort working with computer systems

 

• Enthusiastic about taking on new responsibilities, mastering them and continually improving them

 

• Experience answering phones with a warm, articulate, and customer satisfaction focus

 

• Proficiency in Microsoft Office Suites and database management, SAP experience a plus

 

• Punctual and reliable attendance

 

• Ability to sit at a desk for long periods of time
